The short version

Fireflies is built around the calendar. You invite its notetaker to a call, or let it join your calendar meetings automatically, and afterwards you get a transcript, a summary, action items and a searchable archive that your team can share, comment on and connect to CRMs and chat tools. It also has a Chrome extension that records without the bot, desktop and mobile apps, and file upload.

MediaFind's Meetings mode (Pro) transcribes live from your microphone, a browser tab's audio, or, in the Mac app, both sides of a Zoom, Teams or Meet call. It pulls out key points, action items and decisions as people talk, and nothing is uploaded. Every meeting then joins the same private library as your other recordings, so you can search and ask across all of them.

Bot or no bot: what actually changes

A bot that joins the call has real advantages. It works even when you are not in the meeting, it captures every participant cleanly, and it needs nothing installed on your machine. The trade-offs are that everyone sees a notetaker in the attendee list, some organizations block outside bots, and the recording goes to a vendor's servers.

Capturing on your own computer avoids the extra participant and the upload, but it only records meetings you attend, from the device you attend on. Whichever route you take, recording people usually requires telling them, and in some places getting their agreement. When Fireflies is the better choice

• Whole-team adoption. Fireflies has team workspaces, channels, comments, soundbite clips and admin analytics, so notes become shared company knowledge.
• Automatic attendance. The notetaker can join calendar meetings on its own, including ones you cannot make.
• Integrations. Fireflies advertises over 200 integrations, including Salesforce, HubSpot and Slack, plus dialers such as Aircall and RingCentral, and API access.
• Languages. It lists transcription in more than 100 languages with automatic language detection.
• Compliance paperwork. Fireflies states SOC 2 Type II and GDPR compliance, with HIPAA compliance and private storage on its Enterprise plan, and says it does not train on your data by default.

When MediaFind is the better choice

Pick MediaFind if meeting content should stay on your machine: client calls under NDA, HR conversations or board discussions. Transcription, notes, search and the Ask assistant run locally, and a privacy check lets you confirm the core path makes zero external connections. Names you give to voices are recognized in later meetings, and uncertain matches stay unnamed rather than guessed.

It also reaches past meetings. The same library holds podcasts, interviews, screen recordings and photos, searchable by meaning, visuals, on-screen text and speaker. Honest limits

MediaFind has no bot that attends without you, no shared team workspace and no CRM integrations. Meetings mode is a Pro feature; on the free plan you can still transcribe and search recordings you already have. The main app is for Apple Silicon Macs on macOS 14 or later, with Windows and Linux in beta. For a sales team that wants every call logged to Salesforce automatically, Fireflies fits better.

Pricing

As of September 27, 2026, Fireflies' pricing page lists a Free plan with limited AI summaries and 400 minutes of storage per team; Pro at $18 per seat a month, or $10 billed annually; Business at $29, or $19 billed annually; and Enterprise at $39 per seat a month, annual only. Recording length is capped per meeting, from two hours on Free and Pro to four on Enterprise. Check current pricing before you buy.

No. Meetings mode records from your own computer: the microphone, a browser tab's audio, or both sides of a Zoom, Teams or Meet call in the Mac app. Nobody new appears in the call.
