Find what a client said across every session, and keep it private

Good coaching and consulting depend on remembering exactly what a client said: the goal they set in March, the concern they raised in passing, the commitment they made last week. Notes catch some of it. Recordings catch all of it, if you can search them.

Memory is the service

A coach with twenty clients, or a consultant running interviews across an organization, holds a lot of other people's words. Reflecting them back accurately is part of the value. Getting a detail wrong, or forgetting that a client already told you about a constraint, costs trust.

Session notes are written in the moment and summarize. When you want the client's actual phrasing, or want to see how their language about a goal changed over six months, the notes are not enough.

It also protects you. When a client later remembers a conversation differently, being able to go back to what was actually said, with their permission and in context, is better than relying on either person's memory.

Options and their trade-offs

For confidential work, the question of who else holds the recording matters as much as the features.

  • Handwritten or typed session notes. Private and quick, and they record your interpretation, not the client's words.
  • AI note-takers that join calls. Useful summaries, but a bot in a coaching session changes the room, and the recording is processed and stored by the vendor.
  • Video-call cloud recordings. Easy to capture, then scattered across accounts with limited search.

A private workflow for client sessions

With Pro, Meetings mode transcribes live from your microphone or, in the Mac app, both sides of a Zoom, Teams or Meet call, with no bot joining. It pulls out action items, decisions and key points, and meeting notes export to Word or PDF with action items to your calendar as an .ics file.

  1. Keep one folder per client and add each to MediaFind. New recordings are picked up about once a minute while the app is open.
  2. Name each client's voice once. Speaker labels are free, and a named voice is recognized in later sessions; unsure matches stay unnamed.
  3. Before a session, search that client's folder for “what she said she wanted from the new role” and play the moments in context.
  4. Ask the on-device assistant “what did he commit to last session?” and check the cited timestamps.
  5. Read the per-session summary and chapters to refresh the arc of a long engagement.

For consultants: across interviews, not just clients

Discovery work often means a dozen stakeholder interviews in two weeks. Put them in one folder and search across all of them for a theme, such as “frustration with the approval process,” to see who raised it and how. Every name, team and system mentioned is picked out of the transcripts, so you can find each time a department or tool came up. Export transcripts as Word or PDF for the working file.

Tags and saved searches are free, so you can mark interviews by team or phase and rerun a theme search as new interviews come in. With Pro, collections group an engagement's recordings into nested folders of your own without moving files on disk, and the knowledge map shows how recordings connect through shared topics and speakers.

Consent, confidentiality and retention

Ask for explicit permission before recording a session, and say how the recording will be used and how long you will keep it. Recording laws vary, and some require every party's consent. If you work under a professional code or health privacy rules, check what they say about recordings and where they can be stored.

When an engagement ends, remove the client's folder from the library and delete the files according to your agreement. Avoid connecting a cloud AI assistant over MCP to a library that holds client sessions, because the results it asks for go to that assistant.
